SUMMARY: The Epic Support Analyst (ESA) possesses a deep understanding of Epic and clinical operations. This role acts as onsite ESA and acts as a liaison between OCHIN/Epic/RPMS and KMC. The ESA partners with OCHIN/Epic Member ESAs throughout their journey to support education, growth, and development via delivery of initial and ongoing education and coaching in various areas of EPIC via boot camps, webinars, workshops, and one on one trainings. The ESA goes beyond training and connects system functionality to operational needs and success metrics. This role also works in partnership with providers and staff to strengthen their operations and metrics and to optimize and expand areas of KMC care areas.

Functions and Responsibilities:

• Maintain up-to-date knowledge in designated EPIC areas as well as RPMS until it is discontinued.

• Plan, coordinate, facilitate, and evaluate learning sessions/trainings for members in

collaboration with project partners, including curriculum design, agenda setting, and trainer identification.

• Design, develop, and maintain ESA program content and materials.

• Support planning and coordination of the ESA program and its activities.

• Consult with health professionals/customers to create and implement the ESA structure.

• Observe, evaluate, and develop support plans for individual staff as needed.

• Deliver coaching sessions via multiple modalities, one-on-one, group setting, virtually and by phone.

• Serve as a resource for health professionals/customers on key content areas

• Assist in the coordination of consultations, including planning meeting logistics, communicating, preparing content for meetings, and coordinating follow-up.

• Serve as a vital piece in building and fostering positive relations within the team and organizations.

• Monitor and disseminate required Key Performance Indicator data/reports, both internally and externally.

• Assist in the development of evaluation methods to assess program strengths and identify areas of improvement.

• Manage and monitor assigned communication tools (email, SharePoint site, and others)

• Implement and manage changes and interventions to ensure program goals are met in areas including customer satisfaction, safety, quality and team member performance.

• Completes Continuum UAT for all release notes in the SP/EP release notes

• Participates and provides for orientation of new KMC staff as well as continuing education refreshers for established staff •

• Other duties as assigned

MINIMUM MANDATORY QUALIFICATIONS:

(Preferred) Education: Bachelor's degree in healthcare administration, business administration, public administration, IT, health science or related field from an accredited college or university

• Informatics, or a similar field or relevant experience required.

• Strong understanding of clinic operations and workflows

• Demonstrated solution-focused orientation with strong understanding of change management principles

• Strong leadership skills required to mentor, train and onboard (members/staff)

• Excellent writing skills for correspondence, summary and progress reports, editing

• Ability to work professionally and collaboratively with all levels of leadership, both within OCHIN/EPIC and outside organizations

• Ability to multi-task and organize priorities, work autonomously, establish timelines, coordinate multiple tasks, events, and project timelines

• Proficient in MS Office (excel, word, ppt) and webinar applications.

• Experience in or with a Federally Qualified Health Center (FQHC) preferred.

• Must have experience with EHR software.

• Minimum of three (3) years of electronic health record experience in similar or relevant role in safety net organizations required.

EDUCATION and/or EXPERIENCE:

Bachelor's degree in psychology, social work, human services, or related field, preferred. Home Health experience with knowledge of community resources and services, familiarity with care management software and technology, working in Community Health, and supervisory experience may be considered.

CERTIFICATES, LICENSES, REGISTRATIONS

• Current CPR

• Valid California Driver's License.

• EPIC Certifications in Clinical (Ambulatory/Acute) or PM (Prelude, Cadence, Resolute HB and PB, Grand Central) or obtained within 1 year of employment

ANNUAL TRAINING REQUIREMENTS

At a minimum, employee is required to be certified for the following training:

KMC Orientation includes Infection control, Safety, and Human Resource Policy and Procedure, completion of Health Stream courses and Security Awareness Training. The last two are mandatory annually.
