Job Title: Records & Accounts Payable Clerk

Summary: The Record & Accounts Payable Clerk will be responsible for general office duties and administering an 
electronic document management system, including scanning of documents, setting up new document 
storage archives for K'ima:w Medical Center. This position will also perform accounts payable 
functions. Ideal Candidates for this position would be open to cross-training to move up within the 
Fiscal Office structure.

Functions and Responsibilities:

1. Perform general office duties to include filing, keyboarding, copying, answering phones, and 
record keeping
2. Schedule appointments
3. Call individuals to remind them of appointments or meetings
4. Must be able to multitask.
5. Operates computer terminal to input and retrieve data.
6. Organize and scan historical as well as current documents into an electronic document management 
system.
7. Work with staff to set up the electronic document system optimally to retrieve records
8. Maintains all functions related to Accounts Payable
9.  Take checks to the tribal office for signature and prepare checks for distribution or mailing.
10. Answers all vendor inquiries and reconciles vendor statements monthly.
11. Prepares accounts payable checks, posts a/p Invoice, obtains manager signature/proper approval, 
department codes and assigns account numbers to invoices.
12. Opens mail and routes it appropriately.
13. Assist within the department where applicable
14. Maintain collaborative working relationships with other program members and staff
15. Perform other duties as assigned in accordance with K'ima:w Medical Center's scope of work

PUBLIC RELATIONS/ADVANCED INTERPERSONAL SKILLS:

Addresses clients by name; smiles when talking to clients, physicians, peers, and families; answers the telephone

 courteously and promptly. Identifies self and department when answering the telephone using pleasant voice tone/verbiage. 
possesses excellent listening skills; Interacts with clients and peers.


PROFESSIONALISM: Shows pride in personal appearance and grooming; displays a 
positive attitude about work; respects the confidentiality of clients; and is congenial with public 
and peers.

JOB-SPECIFIC SKILLS & ABILITIES:

•  Proficient skills in operation of computer, calculator, and other office equipment.
•  Demonstrated knowledge of maintaining and managing files and records (numeric and 
    alphabetical).       
    Basic knowledge of computers, servers, and terminals.  
•  Knowledge of grammar, spelling, punctuation, and common technology (EMAIL, SCAN).                
•  Possess good listening skills          
1.  Must have a valid driver's license and be Insurable by the Hoopa Valley Tribe. Personal vehicles must also be cleared.           

EDUCATION and/or EXPERIENCE:

  •   Must have a high school diploma or GED and
  • a minimum of at least 1 year of experience working in an office setting.
